Inbound lead follow-up services for US and Canadian companies

Inbound Lead Follow-Up Service: Every Web Lead Called Back in 5 Minutes

A dedicated Munzai rep works your inbound queue during US business hours. The form comes in, the rep dials within five minutes, qualifies the lead against your criteria and books it into your calendar or CRM. Our reps sit in Pakistan and work US hours, which is why a full-time rep costs $1,800 a month instead of a US salary.

5 minutes

Our call-back target on every web lead during US business hours

23%

of 2,241 US companies never answered a test web lead, and responders averaged 42 hours (Harvard Business Review, 2011, fetched October 16, 2026)

2,228

meetings booked for clients from 78,252 connected outbound calls, January to September 2026 (munzaisolutions.com/newsletter)

What slow follow-up costs, with the numbers behind the 5-minute rule

The most quoted research in this area is a 2011 study, and the threshold it verifies is one hour. We cite it the same way on our lead response time guide.

23% never called back, and the average wait was 42 hours

In March 2011 Harvard Business Review published an audit of 2,241 US companies. Each one received a web-generated test lead and the authors timed the response. 37% responded within an hour, 16% took between one and 24 hours, 24% took more than 24 hours, and 23% never responded at all. Among the companies that did respond within 30 days, the average response time was 42 hours (hbr.org, fetched October 16, 2026).

Calling within an hour made firms nearly seven times as likely to qualify the lead

The same article reports a second dataset of 1.25 million leads received by 29 B2C and 13 B2B US companies. Firms that tried to reach a lead within an hour were nearly seven times as likely to qualify it, defined as a meaningful conversation with a decision maker, as firms that tried even an hour later, and more than 60 times as likely as firms that waited 24 hours or longer (hbr.org, fetched October 16, 2026).

Where the five minutes comes from

HBR’s verified threshold is one hour (hbr.org, fetched October 16, 2026). The original InsideSales.com Lead Response Management study pages returned 404 when we checked on October 14, 2026. InsideSales.com’s own 2021 Lead Response Study page is still online and reports conversion rates 8x greater in the first five minutes, from 5.7 million inbound leads at 400+ companies (insidesales.com, fetched October 16, 2026). It is a vendor-published study, and the hbr.org author note lists David Elkington as chairman and CEO of InsideSales.com (hbr.org, fetched October 16, 2026). We use five minutes as our working target and do not claim the data proves a cliff at minute six. Read the full breakdown in our guide to lead response time.

What this means if you pay for leads

If you buy clicks, Local Services Ads or vendor leads, every lead that waits until tomorrow competes with whoever called last night. Fix the leads that never get called first, then the hours, then the minutes. Run your own test: submit a lead to your form at 10 a.m., at 4:45 p.m. and at 8 p.m. on a Saturday, and time each response.

What the rep does in the first five minutes

The clock starts at the timestamp on the form submission, the chat transcript or the missed call, and it stops at the first human dial. An auto-reply does not count. This is the sequence on every lead.

Minute 0 to 1: acknowledge

Your form’s auto-reply goes out with the rep’s name and a promise: a person will call within five minutes from a named number. We write that reply with you. Meanwhile the rep opens the form, your CRM record and your calendar before dialing.

Minute 1 to 5: call

The rep dials from a US number, refers to the exact thing the lead asked about and runs your qualification questions: what they need, when they need it, budget or size where you want it asked, and who decides. We write the script with you before go-live, so it sounds like your company.

Qualified: book it

A qualified lead is booked straight into your calendar or CRM, with notes on what was said, so your closer or technician walks in prepared. HubSpot is our default and we work inside whatever tool you already use.

No answer: the follow-up cadence

Most web leads do not pick up the first time. The rep leaves a voicemail and sends a text or email with a direct line, calls again two hours later, then follows a five-day cadence of calls and emails that reference the form the lead sent. Every attempt is logged, and the file is closed with a final note on day five.

Out of scope: logged and closed

Leads outside your criteria get a polite answer and a disposition in your CRM, so your pipeline reports show real opportunities only.

How it plugs into PPC, Local Services Ads, web forms, chat and SMS

We are the human at the end of your automation. Your forms, dialer and CRM keep doing what they do; the rep is the person who picks up when the notification fires.

Web forms and landing pages

Form submissions reach the rep as a CRM alert, an email or a webhook push. Zapier, Make and GoHighLevel workflows that already notify you can notify the rep too. The timestamp on that notification starts the five-minute clock.

Google Local Services Ads and PPC calls

Inbound calls from your LSA profile or call-only ads can be routed to the rep during covered hours. For missed calls we recommend the same five-minute call-back target. Your ad spend and cost per lead do not change.

Live chat

The rep staffs the chat widget on your site during covered hours, answers the first questions and moves the conversation to a call or a booking rather than leaving a transcript for someone to read later.

SMS

Text conversations are handled by the same rep, from the same number, inside the same log. If your plan includes automated texts to leads, read the consent question in the FAQ below before you turn them on. None of this is legal advice.

One log for everything

Calls, texts, chats and bookings land in your CRM with a disposition and notes. You get a weekly report of leads received, reached, qualified and booked, and a project manager to go through it with you.

Coverage and pricing: US business hours as standard, from $1,800 a month

One dedicated rep, 40 hours a week, on your account only. The price is plain because the model is plain: our reps work from Pakistan on US hours, so you pay for a full-time person at a Pakistani salary plus our management, and nothing per minute or per lead.

Standard coverage: US business hours

The rep covers your business hours in your time zone, Eastern to Pacific, Monday to Friday. Leads that arrive outside that window are called at the start of the next covered hour, and we help you write the auto-reply that says so.

Evenings and weekends: available at an additional cost

If your leads come in at 8 p.m. or on Saturdays, we quote evening and weekend coverage as an add-on, priced by the hours you need. We do not offer overnight or 24/7 coverage, and we would rather say so here than sell it and miss it.

From $1,800 a month, quoted per scope

A dedicated inbound rep starts at $1,800 a month for 40 hours a week. The final quote depends on channels, lead volume and extended hours. No per-minute billing, no per-lead fees, no setup fee.

Month to month, 10 days' notice

There is no minimum term and no contract to get out of. Give us 10 days’ notice and we close the account at the end of the period.

What it replaces

The US Bureau of Labor Statistics put the May 2025 median wage for customer service representatives at $21.53 an hour (api.bls.gov, fetched October 16, 2026), about $3,730 a month at 2,080 hours a year, before payroll taxes and benefits, for business hours in one time zone. Compare that with $1,800 for a rep whose only job is your inbound queue. If you also want outbound, see our outsourced SDR services.

How it starts

A discovery call, then we agree the script, the qualification questions and the booking rules, connect your forms and CRM, and train the rep on your offer. The rep goes live in two to four weeks, and we review the first week of calls with you.

Who this is for, and who should not buy it

A dedicated rep pays off when there are enough leads to keep a person busy and each one is worth a call. This is how we judge fit on the first conversation.

A good fit

US or Canadian companies that already generate inbound leads from ads, Local Services Ads, SEO or referrals and lose them to slow follow-up: home services such as HVAC, plumbing, roofing and electrical, B2B services and SaaS with demo requests, IT and MSP firms, and professional services with a steady intake form. The usual signal is an owner or sales lead answering the inbox between jobs.

Also a good fit

Companies that already run outbound with us and want an inbound rep as well. The inbound rep is a second, separate rep, quoted on its own scope, and the outbound SDR does not cover inbound call-backs. See our B2B cold calling services for the outbound side.

Probably not a fit

Fewer than about 15 leads a month, where a per-minute answering service may cost less; leads that arrive mostly overnight; post-sale support such as billing or complaints. A backlog of old leads that were never called is a one-off job: see pay-as-you-go calling from $399.

What we never promise

No guaranteed number of booked appointments, no 24/7 coverage, no overnight shifts. We publish what the rep does and how fast; the close rate stays yours.

For PPC and Local Services Ads agencies: lead follow-up for your clients

If you run paid search or Local Services Ads for clients and watch their leads go unanswered, the problem shows up in their results and in your retention.

You stay the client's agency

You introduce the client; we handle the calls and keep you in the loop. The client gets a dedicated Munzai rep on their own inbound queue, and you keep the ad account and the relationship you built.

Refer your client and get paid

Our partner program pays 10% of what a referred company pays us for its first three months; a dedicated inbound rep at $1,800 a month works out to $540. The company must be new to Munzai, and we ask that you tell them to expect our call before you send the referral. The terms are on our partners page.

Proof for your pitch

Every contact the rep makes is logged in the client’s CRM with notes and a disposition, and we keep you in the loop. When you review the account with the client, you can put the call-back log next to cost per lead.

Where to start

Pick one client whose form leads sit until the owner is off a job. We set the rep up on that account in two to four weeks, and you compare booked jobs before and after on the same ad spend.

Questions we get about lead follow-up

What is a lead follow-up service?

A service that puts a person on your inbound leads the moment they arrive: calling, texting or chatting with the lead, qualifying them against your criteria and booking them into your calendar or CRM. Ours is a dedicated, named rep rather than a shared pool of operators, and the rep works only your account.

What is speed to lead, and what is a good number?

Speed to lead is the time between a lead arriving and the first human attempt to reach them. Under five minutes to a live call is excellent. Under an hour is the threshold the 2011 HBR audit verified, and more than 24 hours or never is where 47% of the 2,241 audited companies landed (hbr.org, fetched October 16, 2026). We work to five minutes in covered hours. If you measure your own team, track the median and the 90th percentile rather than the average, since one slow lead moves an average.

Is the rep a real person or an AI voice agent?

A real person, in Pakistan, trained on your offer and working US hours. We do not run AI voice agents on your leads. If you are weighing an AI agent for call-backs, ask a TCPA attorney about consent rules for artificial voices before you switch it on. This is not legal advice.

What hours are covered?

US business hours in your time zone, Eastern to Pacific, Monday to Friday, as standard. Evenings and weekends are available at an additional cost and quoted for the hours you need. We do not offer overnight or 24/7 coverage.

What does it cost?

From $1,800 a month for a dedicated rep, 40 hours a week, quoted per scope once we know your channels, volume and hours. Month to month, 10 days’ notice, no setup fee, no per-minute or per-lead charges.

What happens when a lead does not pick up?

The rep leaves a voicemail and sends a text or email with a direct line, calls again two hours later, and follows a five-day cadence of calls and emails that reference what the lead asked for. Every attempt is logged. If nobody reaches them by day five, the rep sends a closing note and dispositions the lead in your CRM.

Do you need access to our CRM and calendar?

Yes. The rep books directly into your calendar and logs every contact in your CRM. HubSpot is our default and we work inside whatever you already use. If your forms do not timestamp leads or log calls today, we set that up during onboarding so the five-minute clock can be measured.

Can you send automated texts to our leads?

An automatic acknowledgment text is usually sent by your own form or CRM, and we help you write it. Put consent language next to the submit button first. Under 47 CFR 64.1200(a)(2), and subject to exceptions such as calls made by or on behalf of tax-exempt nonprofits and certain health-care messages, a telephone call that includes or introduces an advertisement or constitutes telemarketing, made with an automatic telephone dialing system or an artificial or prerecorded voice to a wireless number, needs the called party’s prior express written consent (law.cornell.edu, fetched October 16, 2026). That rule is written for telephone calls, and how it applies to a particular text program is a question for a TCPA attorney. This is not legal advice; have a TCPA attorney review your form.

Find out what your leads are waiting on

Book a call. Tell us where your leads come from, how many arrive a month and the hours they land, and we will quote a scope and say plainly whether a dedicated rep makes sense at your volume.

Or send the details and we will reply within one business day
