10 Best Sales Automation Tools for Sales Reps in 2026

The best sales automation tools for sales reps in 2026 are the ones that take admin off the rep, not the ones with the longest feature list: Apollo for contact data and sequences, LinkedIn Sales Navigator for account research, a dialer such as Aircall, JustCall or PhoneBurner, a call recorder such as Gong or Fathom, Calendly for booking and Zapier to connect them. At list prices, a hypothetical three-rep stack built from this list costs about $240 per rep per month before the CRM. Below are the 10 tools, what each cost on the vendor’s own pricing page on October 2, 2026, and who each one suits.

How this list was built

Munzai Solutions is an outbound sales agency. Our SDRs are in Pakistan, work US and Canadian business hours, make 80-110 dials a day each, log their work in the client’s CRM (HubSpot, Apollo or another) and have their calls recorded. So we judge a tool by one question: does it give a rep more live conversations per hour, or does it just add another tab?

  • No CRMs. HubSpot, Salesforce, Pipedrive and Zoho are compared in our best CRM for small business guide. This list covers what sits around the CRM.
  • Published prices only. Every price links to the vendor’s pricing page. Where a vendor does not publish one, we say so instead of guessing. Prices change, so check the page before you buy.
  • No Clearbit. Older versions of this list included it as a standalone enrichment tool. HubSpot completed its acquisition of Clearbit on December 4, 2023, so we treat it as part of HubSpot rather than a separate tool.

Prospecting and data

1. Apollo

Apollo’s pricing page lists a free plan (900 credits per seat per year, two sequences) and three paid plans billed annually: Basic at $49 and Professional at $79 per seat per month, and Organization at $119 per seat per month with a three-seat minimum. Paid plans include unlimited sequences and a US dialer that draws on credits. Call recording is capped at 150 minutes on Basic and rises to 4,000 minutes on Professional. An Advanced Dialer add-on (power dialer, parallel dialer, local presence) is $119 per team per month. Verdict: the sensible first purchase for a team of one to five, because data, email and calling sit in one place. Watch credit usage; that is where the bill grows.

2. LinkedIn Sales Navigator

LinkedIn lists Core at $119.99 per month or $1,079.88 per year, and Advanced at $159.99 per month or $1,799.88 per year. Advanced Plus, which adds CRM syncing with Salesforce, HubSpot and Microsoft Dynamics, is quoted by sales. Core includes 50 InMail messages a month and more than 50 search filters. Verdict: a research tool, not an automation tool. It earns its seat when a rep uses it to confirm who holds the job today before dialing.

Dialers

For a rep making 80-110 dials a day, the dialer saves more time than anything else here. Hypothetical arithmetic: if dialing and logging by hand costs 45 seconds a call, 100 dials is 75 minutes a day spent on nothing a buyer hears.

3. Aircall

Aircall lists Essentials at $30 and Professional at $50 per license per month on annual billing, with a three-license minimum. Essentials includes call recording and CRM integrations; the power dialer, which dials an imported list of up to 1,000 numbers in sequence, starts at Professional. Verdict: a good fit when the same team also answers inbound calls.

4. JustCall

JustCall lists Team at $29, Pro at $49 and Pro Plus at $89 per user per month, billed annually, with a two-license minimum. AI call scoring arrives at Pro Plus. A separate Sales Suite with sales dialers and unlimited calling is custom-quoted. Verdict: the lower minimum makes it the easier start for a founder plus one rep.

5. PhoneBurner

PhoneBurner lists Standard at $140, Professional at $165 and Premium at $183 per user per month, billed annually. Unlimited calling is included from Standard, live call monitoring and coaching from Professional, and call transcription from Premium. Verdict: expensive per seat, and worth it only for reps whose whole day is the phone.

Sequencing, recording and coaching

6. Outreach

Outreach shows four Amplify plans priced per user, but no dollar figures; you request a quote. Its closest rival, Salesloft, does not publish prices either. Verdict: built for larger teams with someone to administer it. A small team gets most of the benefit from the sequences already inside Apollo or its CRM.

7. Gong

Gong does not publish prices. Its pricing page says licenses are priced per user and that there is a platform fee based on the number of users. Verdict: strong for coaching at scale; hard to justify for three reps when cheaper recorders exist.

8. Fathom

Fathom has a free plan with unlimited recordings and transcriptions. Team is $15 and Business is $25 per user per month on annual billing, each with a two-user minimum; Business adds CRM field sync and AI scorecards. Fathom’s site lists Zoom, Google Meet and Microsoft Teams, so it records booked meetings, not dialer calls. Verdict: the low-cost way to make every discovery call reviewable.

Booking and glue

9. Calendly

Calendly is free for one event type. Standard is $10 and Teams is $16 per seat per month, billed yearly; Teams adds round-robin scheduling and lead routing. Verdict: buy Teams only when meetings must be shared out among several closers.

10. Zapier

Zapier is free for 100 tasks a month. Professional starts at $19.99 per month on annual billing with 750 tasks; Team starts at $69 with 2,000. Verdict: use it for one job first, such as creating a CRM deal whenever a meeting is booked.

What a three-rep stack costs: a hypothetical example

This is arithmetic on the list prices above, annual billing, for an imaginary team of three reps. It leaves out the CRM, taxes and any credit overages.

  • Apollo Professional: 3 x $79 = $237
  • Apollo Advanced Dialer add-on: $119 for the team
  • Sales Navigator Core: $1,079.88 a year is $89.99 a month; 3 x $89.99 = $269.97
  • Fathom Team: 3 x $15 = $45
  • Calendly Standard: 3 x $10 = $30
  • Zapier Professional: $19.99

Total: $720.96 a month, or about $240 per rep. Swap in PhoneBurner or add Gong and the figure climbs quickly.

Tools to manage sales reps: what a manager needs

Managers searching for a tool to manage sales reps usually need three things, and most are already in the list above:

  1. Recordings to review. Apollo, Aircall, Gong and Fathom all record calls. Listen to a few each week per rep.
  2. Activity logged without typing. If the dialer writes each call to the CRM, the numbers are complete.
  3. One funnel report a week. Dials, answered calls, follow-ups, qualified leads, meetings.

For scale, here is that funnel across all Munzai clients from January to August 2026: 69,722 connected calls, 7,585 strategic follow-ups scheduled, 5,780 high-quality leads identified and 1,953 meetings and conversions. That works out to roughly 36 connected calls for each meeting or conversion. Your ratio will differ with your list and offer, which is exactly why you track it.

What automation will not do

  • Fix a weak list. A dialer gets through a bad list faster. Define the target first; see what an ICP is and how to find yours.
  • Hold the conversation. The first 20 seconds of a cold call are still a person’s job. Our cold calling strategies guide covers that part.
  • Run LinkedIn for you safely. LinkedIn’s help center says it does not permit third-party software, bots or browser extensions that automate activity, and that accounts using them risk being restricted or shut down. That is why Munzai’s LinkedIn outreach is run by people, not automation tools, at $1,200 a month per seat.

Buy the tools, or rent the rep?

In the example above the tools are about $240 a month per rep. The rep is the larger cost, and in-house versus outsourced SDR walks through that comparison. For reference, a dedicated Munzai SDR is $1,800 a month for a 40-hour week, month to month with 30 days’ notice and no setup fee. The price is what it is because the SDR is in Pakistan, and we say so openly; they work your business hours and call from local numbers.

Across our 2026 campaigns, 35-48% of dials are answered. On roughly 1,700 dials a month, that is 595 to 816 answered calls. Treat it as an average across campaigns, not a forecast for yours. To test before committing, pay-as-you-go SDR starts at $399 for 150 leads: you supply the script and list, every lead is dialed twice, and a dispositioned file with call notes comes back in 5-7 business days.

Want the calls made without building the stack yourself? Talk to Munzai about a dedicated SDR for your US or Canadian market, or start with one pay-as-you-go list.
